Good Intranet Design Inspires

In our latest webinar, Intranet Design 101, we showed how users can design and style their site using our intranet Theme Builder. For a recap of our intranet design tips and tricks , take a moment to check out what we covered in the webinar:

Step #1:

>> Go to the Admin Area of the site

>> Click on the Site Design tab

>>  Next, go into Manage Site Themes

>> At the bottom of the page under Save Options, type your new theme name in the Save as a new theme box then click save

 

 

 

 

 

Step #2: From the Site Theme Preview, select “Site Layout” and select your preferred browser width

Variable width stretches out the intranet page to fit the size of that particular screens resolution.

Fixed width ensures that the size of the site does not fluctuate with browser resolution so that all of your users have the same interface experience.

 

Step #3: From The Site Theme Preview, upload a logo or graphic to the top menu header.

You can also set the top frame height to fit your logo or graphic

 

 

 

 

Step #4: Change the Site Background colors from the Site Theme Preview

 

 

 

Tara’s Tip: Lighter background colors are pleasant to look at and make content easily legible.

 

 

 

 

Step #5:  Select and apply your site colors with the Style Section icons

 

 

Tara’s Tip: You can use your company’s preselected color codes, or use the handy color picker available on the intranet software.

 

 

 

 

 

Tara’s Tip: Review your color choices on the Site Theme Preview before you apply them to the site permanently

 

 

Step #6: Add an image, color or watermarked logo to the fixed width layout to add visual interest. In the Site Theme Preview, select “Site Layout” and upload a browser background image

 

 

 

 

 

 

 

 

Step #7: Add ICONS to top menu

Icons help grab users attention and can represent a particular menu option or application throughout the site. In the Site Design tab, click on Menu Builder. Next,  select the menu header that you want to associated an icon with. Upload an icon for the headers selected. Once complete, click on “apply to site” to make all changes permanent.

 

 

 

Step #8: Add widgets to home page

 

 

The home page is the most valuable piece of real estate on your intranet and it sets the tone and feeling for the site. Intranet Connections v11 offers new widgets that will engage users and promote collaboration.

A Culture of Community – IBF Live Intranet Tours

Accenture Intranet

I tuned into the August broadcast of IBF Live and heard Steve Kaukonen and Steve Berzins describe their Accenture Intranet as a “culture of collaboration” and I thought what a great play on words!  Hence this blog post title but I swapped out collaboration in favour of community. This month’s IBF Live theme seemed to emerge more as a lesson in how a consolidation of intranets, people and content can help internal communities thrive.

If this is your first time hearing about IBF Live, you might want to tune in for the next one in September. IBF Live runs the first Tuesday of every month. IBF is the Intranet Benchmarking Forum and they host a monthly 90 minute tour of intranet sites and discussions relating to the challenges intranet managers face. Check out the web site at www.ibflive.com.

Accenture is a large management consulting, tech services and outsourcing company with an intranet serving a whopping 2700 (!) communities. What I found interesting was that their Knowledge Exchange Portal reports and shares “scores” for authors of intranet content.  Scores are tallied based on contributions, with a personalized widget titled “My Contributions” reporting your top content based on the number of views, comments and ratings.  This helps site contributors understand the impact their knowledge sharing has on other employees.

Covidien’s “Pulse Connect”

Another large intranet tour was Covidien, a leading global provider of healthcare products with 43,000 employees. They have a collaboration site called Pulse Connect that seeks feedback from its community and delivers a vibrant discussions area, with Corporate Communications prompting for conversations with a “would you like to discuss this” link on all of their news announcements and releases.  Pulse Connect also provides one hour training sessions for employees, to help cut back on using IT resources.

Cleveland Clinic Employee Intranet

Cleveland Clinic, a non-profit academic medical center, was my favorite intranet tour of the day, even though we didn’t get a chance to see the site live in action.  An award winning intranet for the 2011 User Experience Awards, CC/Pulse was showcased through slides. The redesign that won the award was a result of a desire to consolidate 6 various intranet portals. The goal was to unite people and content with a single sign-on, a single source for search and good flow by utilizing standard design practices. This is a valuable design tip: the site looks the same wherever you navigate to, or how deep you go. We subscribe to this principle with our own Intranet Connections collaboration software.

An interesting point was brought up surrounding how much social is too much? Cleveland Clinic had a big decision to make as to what social tools to include. They did not want their intranet to act like the consumer web with social networking tools that would distract. They chose to integrate social where it made sense for the business and employee functions. Their intranet has comments and ratings, tagging, rich employee profiles, and a career center that focuses on employee development and opportunities for advancement.  You can hover over any author of content and see their photo and information, with a quick way to connect including paging the employee from a link.

One final impression that I came away with this IBF Live:  two of the intranets were fairly basic in terms of look and feel, whereas the Cleveland Clinic intranet stood out with their winning design, even though it was presented through slides and not a live tour. I am fairly visual so this might be a biased impression, but I did find my attention held with the appealing design of the Cleveland Intranet whereas it wandered with the sites that were more link-heavy and not as interesting in the design department.

A good visual design with strong navigation and consistency holds a lot of power, not just in your public facing web sites but with your intranet as well. Spending a few dollars for an intranet designer, and taking the time to get it right, is well worth the effort.

5 MORE Things you Didn’t Know Your Intranet Can Do

Last week, we shared 5 things you didn’t know your intranet can do, but we couldn’t stop there! We decided to expand on the previous post so we can provide you with 5 MORE intranet  tips:

>> Do you have an employee with great intranet design skills, but they can’t have full administrative access to make creative changes to your intranet?

 

The Site Designer function allows you to assign elevated rights to an employee. This way, they have access to the Site Design tab where they can create and choose themes for the site, design the menu navigation system, and organize home page widgets.

 

 

 

 

>> Want to collaborate with documents in your intranet software?

When you create a document on the documents & policies application, you can select “versioning” by clicking in the check box provided.   If you upload a new file, it will be set as the current document and previous file uploads will be retained as versions. If you choose not to select versioning, any new file uploads to this item will overwrite the existing file.

 

>>Did you know that you can archive widgets and department sites?

You can select an exact date and/or time and the information will show up automatically! This is great for scheduling in advance and archiving items.

 

>> Want to add thumbnail images to What’s New and the intranet software menu?

In the Application level, you can upload an image to represent a particular menu option or application throughout the site.

 

>> Did you know that you can upgrade to v11 from any existing version of Intranet Connections software?

Get Creative. Build on Culture. Empower Employees with Intranet Connections v11

Intranet Connections has its roots in business applications. We have added a lot of social and collaboration elements to our social intranet software over the recent years, but we have never forgotten about our roots in providing tools for employees to help improve your business.  We also see a great deal of employee engagement stemming from your company culture and our new v11 is all about leveraging your intranet to communicate that culture, and to expand on the tools you need to better inform and collaborate with your employees.

I was going to blog about the specific features of our new release, but instead I owe an entry to Julie Hunt, of Julie Hunt Consulting who took the time to respond to my last blog post on v11 and culture.

Julie Hunt, well known in the Twitter Intranet Community as @juliebhunt, sent me an email asking more about our team collaboration day that I blogged about – where I closed the office and invited all employees to attend and participate in a company strategy session. Julie was asking about how our employees are empowered to be stronger and more productive, to relate better to our intranet customers.

We use Intranet Connections in-house for our own intranet using the new v11 features to support our company culture, which is all about empowerment and ownership of work – and a bit of fun sprinkled in. Intranet Connections is my baby, I am the founder, I built the software 12 years ago (it is now in more capable hands with a full development team) and I cultivated a team environment from the first day I hired to help me with this growing business.

Julie asked how our employees are empowered. My method is relatively simple. When I am recruiting, I look for people with initiative and I hire for the potential of intrapreneurs. When my staff recruits, they know to look for the same qualities that they possess. I never hire unless my team ok’s the person.  We place as much emphasis on a cultural fit as qualifications for the job. I believe in the proverb – you can teach job skills but you can’t teach attitude. I also know that there are good people out there; you just have to attract them, so one of the first things I do in an interview is talk about our core values of simplicity, integrity, creativity, work/life balance, and building relationships. If there is a good fit, the core values will resonate with the candidate.

I have a horizontal view of my company, including my own role. I ask everyone their opinions, all of the time, especially when they are new to the company and have that eager, new perspective. We all have a voice in the company and also in how we grow, the direction we take, and the continued development of our intranet software.  I try to give employees the room to grow in their own roles. If they want to take on initiatives, I am all for it even if it may not be 100% in line with their job description. I want them to expand their skills and knowledge so that they can support our customers to the best of their abilities.

So how does the intranet help support this culture of everyone having a voice? Well for us, we are not a huge company with 100s of employees, but I do believe in an open publishing concept. We encourage everyone to submit content to their team sites on the intranet. We also share wins and we post upcoming team building events, photos, and customer feedback – particularly the positive feedback that is so rewarding to receive, because we all work hard to go the extra mile.

Our intranet is quite social – we have chat, we have rich employee profiles, we have a knowledgebase to tap. We also use our intranet to share company initiatives and we created an application with our new App Builder tool, which stores historical reference to our weekly “rocks” (big action tasks) for each team including development, sales, support and marketing.  This way, we can review our progress and ensure every team member is on track towards our quarterly goals. It helps everyone to be in the know, as we all end up educating our customers and prospects on our software, how to leverage what you have in within your intranets, and what’s coming down the pipe for enhancements and added functionality.

One of our company core values is work/life balance and our intranet reflects this. We have a Photo Album and slideshow of our “Intranet Connections Extended Family” that shows our kids, pets, friends, family members. Everyone can share photos and are encouraged to do so. We have a lot of people who bike to work from downtown, and we give tips via our intranet on other green living initiatives including yummy and healthy recipes.

We also travel as a team, and laugh a lot. Fun is a small part of corporate culture, but for us, it’s important. I like everyone to be included on trips, and this helps to build the rapport and knowledge of what each contributes in their roles to making our company a success.  It is truly a team effort and without my team I cannot do business. An organization’s greatest assets are the employees and it is great to provide a rocking intranet that supports the kind of culture and environment I want to foster.
